How your information is used

Who is responsible

Perfetti Van Melle is the controller. Readyline processes data on its behalf under a data processing agreement, which lists every sub-processor and its location. The workspace is hosted in the EU.

What we store about you

• Your name, work email, role and scope (for example "key user, Spain") so you can sign in and see what fits your role.
• Sign-in events and changes you make (audit log), kept for 12 months.
• Cards you post in marketplace sessions. Other participants in your session see your name on your cards.

What it is used for, and what not

• Purpose: prepare the organisation for the new way of working: impacts per process step, role and country; training, communication and readiness.
• The change impact assessment and all dashboards hold role-level information only. Names are removed before cards reach the impact assessment or any export.
• No figure is shown for a group smaller than 5 people.
• Not used to assess, rate or make decisions about individuals. Outputs may not be used for performance evaluation or HR decisions.

Recording and transcription

Marketplace sessions may be recorded and transcribed in Microsoft Teams. This is always announced in the invitation and at the start of the session. Transcripts are kept in this workspace only, are used to capture impacts at role level, and are deleted 30 days after the report-out.

AI-generated content

Films, narration and first drafts are generated with AI and labelled as such; the narration uses a synthetic voice. Every AI draft is reviewed and approved by an accountable person before it reaches employees.

Your rights

You can ask to see, correct or delete your information through your programme office or the Perfetti Van Melle data protection officer. Accounts of people who leave the programme are deactivated and removed at programme close.
